General Information Regarding the Bancroft Inn of Sonoma

 

Check-In Time, Check-Out Time and Late Arrivals

  • Check-in time is 4:00 pm (or earlier if room is available).

  • If you plan to arrive before 4:00 pm, you may park in our lot and we will be more than happy to store your luggage and tell you about our favorite places to have lunch or to visit until your guest room is available.

  • If you plan to arrive after 7:00 pm, please call us at 707-934-8934 so that we may coordinate your check-in with our innkeeper.

  • Check-out time is 11:00 am.

  • Can’t find the exact dates, times, or rooms you desire, please contact us to customize your booking!

 

Guarantee and Payment Policy

  • At time of booking, we require a valid credit card to guarantee your reservation.

  • Deposit amounts are indicated on the final charge prior to finalizing booking.

  • If paying with cash, a deposit equal to the room, tax and up to $100 per day towards incidentals will be collected at check in (please contact innkeeper to arrange for cash deposit options to secure your reservation).

  • If you choose to use a debit card to guarantee and pay for your stay, your bank may automatically hold additional funds, beyond the expected amount due, in an effort to cover any incidental charges. We have no control over the amount your bank will hold or when the funds will be released back to your account. Please check with your bank for further information.

  • Holidays, special events and group bookings have separate deposit and cancellation policies; please review our cancellation policy and contact the inn directly for details of longer stays or multiple rooms.

  • If you are not staying, but are paying for another guest's stay, your card will be charged in full at time of reservation for the entire amount.

Seven-Day Cancellation Policy

  • If you cancel your reservation seven days or more prior to your arrival date, there is no charge (for single room stays).

  • If you cancel your reservation within seven days of your arrival date or fail to cancel your reservation and fail to arrive, the first night, plus occupancy tax, will be billed to your credit card on file (or 50% of the total cost of the stay, if staying more than two nights).

Group Reservations: Three or more rooms, either booked together or individually by parties traveling together, constitutes a group reservation. Group reservations may require payment at the time of booking and a 30 to 60-day cancellation policy depending on season. An additional group booking fee may be required. These policies supersede policies shown on an individually booked reservation. If you, or the parties you are traveling with, reserve two or more rooms, you will be contacted and a contract will be required. Please see our Extended Stay policies which also applies to Group Reservations.  Please contact the owner for more information or clarification.

 

Holiday or Special Event Periods: Reservations during a special event or holiday periods are subject to a longer cancellation policy, please contact the Inn with any questions. Should you not cancel your reservation within the specified timeframe, you will be charged for all nights of your original reservation. Additionally, a minimum night stay may be required, and early departures will be charged for the original reservation.

 

Extended Stays & Early Departure Policy

  • Reservations for seven days or more are subject to pre-payment of the entire amount at the time of reservation.

  • A 60-day cancellation policy applies on an extended stay (4 days or more).

  • For all reservations canceled 60 days or more before the date of arrival, your deposit will be refunded minus a $25 processing fee.

  • Cancellations within 60 days of arrival, will forfeit 50% of the entire amount of the stay, plus tax.

  • Once checked-in, early departures are charged for the entire length of the original reservation.

 

Occupancy & Tourism Tax

  • Transient occupancy tax and a tourism tax is charged on the room rate only.

  • Bancroft Inn of Sonoma does not require or assess any additional fees at this hotel such as a resort or amenity tax.

 

Reservations Made Through Online Third-Party Agencies Such As Booking.com, VRBO, AirBnB or Expedia.com

  • We highly recommend that you reserve directly with the inn to receive the best rate, however, you may use third-party agents such as booking.com, Expedia.com, hotels.com, AirBnB, or others.

  • Should you need to cancel your reservation, you must do so through the third-party website (which may have different policies than our direct site).

  • If we need to contact you about important information regarding your reservation, we will be unable to do so as only the online travel agent has your contact information

Guest Identification Required

Guests are required to present a valid identification at check-in that matches the name on the reservation as well as the credit card used to pay for the guest room.

 

Smoke-Free Inns

  • All Bancroft Inn of Sonoma rooms are 100% smoke-free.

  • If smoking occurs, there will be a $500 cleaning fee per night added to your folio.

 

Additional Guests and Children

  • Room rates are based on single or double occupancy. If there are additional guests over the age of 10 staying in the room, there will be a $25 extra person nightly charge in your own bedding or $40 for a rollaway bed.

  • Some of our rooms cannot accommodate more than two guests. Please contact us in advance to determine whether the guest room you selected can accommodate additional guests or a rollaway mattress.

  • If you are traveling with a child, please call us for assistance in selecting the best room.

 

Dog Policy

  • We are dog owners and lovers, but due to the intimate and ornate qualities of the inn, we have a no pet pet policy but are happy to give you recommendations for nearby places who will accept your furry friends. 

  • Rover.com is also a fantastic resource for finding in-home care for your pet while traveling. Please use our referral link to save $20 off your first stay!

  • A service animal, as acknowledged by the American with Disabilities Act, is welcome to accompany their owner while staying at the inn. Please be prepared to provide paperwork and notify the innkeeper prior to arrival and make sure to call in advance to arrange to have your service animal who assists with your disability. 

Front Desk Hotel Safe Available

  • A safe is available with the innkeeper if you require it.

  • Items checked into the office of the innkeeper safe are available to access during the innkeeper’s posted hours (Generally 8am-7pm daily).

  • Upon checking an item in, you will receive a written receipt with the declared value.

  • We cannot accept cash or items valued in excess of $2500 per room.

  • We are not responsible for any items or valuables left in the guest room.

 

Accessibility

  • Please contact the innkeeper for accessibility features of the guest rooms or common areas if you have any questions.
